System Configurations

For a better experience when using the Queue view, Zenoti recommends making adjustments to your system's display settings.

Zenoti Web Configurations

To use Queue on Zenoti Web, you must enable Queue and configure settings at Organization Level and Center Level:

Organization Configurations

After you enable Queue at the organization level, you have to set up the organization level configurations.

Ensure you configure the following at the organization level:

  • Set Appointment Time Slots

  • Disable Double-booking for Therapists

  • Disable Appointment Booking Outside Therapist Schedule Hours

Center Configurations

After you enable and configure Queue at the organization level, you have to set up the center-level configurations.

Ensure you set the following at the center level:

  • Operate Appointment Book in Queue Mode

  • Override Booking Restrictions

  • Enforce Therapist Authorization

  • Assign Therapist based on Idle Time

  • Button Label for No Show

  • Appointment and Queue View Slide

  • Show Room Association on Admin Queue

  • Show Available Therapists in Admin Queue

  • Show Scheduled Therapist for the day in Queue

  • Show Preferred Time in Queue

System Configurations

Adjust System Display Settings

For a better experience when using the Queue view, Zenoti recommends making the following adjustments to your system's display settings (Settings > System > Display).

To adjust your system’s display settings

1. Under Scale and Layout, do the following:

2. From the Change the size of text, apps, and other items drop-down list, select 100%.

3. From the Display resolution drop-down list, select 1366 x 768 for a laptop. If you're using a desktop, select 1920 x 1080.

4. From the Display Orientation drop-down list, select Landscape.

5. Under Multiple displays, do the following:

6. From the Multiple displays drop-down list, select Extend these displays.

7. A pop-up appears asking whether you want to keep the display settings.

8. Click Keep Changes.

Organization Configurations

Set Appointment Time Slots

To set appointment time slots for Queue

1. Ensure that you are at the organization level.

2. Navigate to Admin > Organizations > Online Booking > Online Booking Setup.
The Online Booking Setup Settings page opens.

3. Locate the Appointment Time Slots setting.

4. Select the appointment time slot from the drop-down.

The selected time slot will reflect in the Queue.

5. Click Save.

Disable Double-booking for Therapists

To disable double-booking for therapists

1. Ensure that you are at the organization level.

2. Navigate to Admin > Organizations > Settings > Appointment Book.

The Appointment Book section expands.

3. Locate the Double-booking for Therapists setting.

4. To disable double-booking for therapists, select the Block option.

5. Click Save.

Disable Appointment Booking Outside Therapist Schedule Hours

To disable appointment booking outside therapist schedule hours for therapists

1. Ensure that you are at the organization level.

2. Navigate to Admin > Organizations > Settings > Appointment Book.

The Appointment Book section expands.

3. Locate the Appointment Booking Outside Therapist Schedule Hours for Therapists setting.

4. To disable appointment booking outside therapist schedule hours for therapists, select the Block option.

5. Click Save.

Center Configurations

Operate Appointment Book in Queue Mode

To enable Queue at the center level

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Appointment Book.

The Appointment Book section expands.

3. Locate the Operate Appointment Book in Queue Mode setting.

4. To turn on the setting, select the Operate Appointment Book in Queue Mode checkbox.

5. Click Save.

After you enable Queue at the center level, the following changes are visible on your screen:

  • On the menu bar, Appointment Book changes to Queue.

  • On the Center settings page, Admin Queue, a new settings category appears.

In the Admin Queue category, you can configure center-level settings based on your requirements.

Override Booking Restrictions

To enable override booking restrictions

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Appointment Book.

The Appointment Book section expands.

3. Locate the Override Booking Restrictions setting.

4. To enable the setting, select the Override Booking Restrictions checkbox.

5. Click Save.

Enforce Therapist Authorization

Before you enable therapist authorization, you need to:

This setting will allow your employees to authenticate the start of service by entering an authentication code.

To configure therapist authorization on Queue

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Enforce Therapist Authorization setting.

4. To enable the setting, select the Enforce Therapist Authorization checkbox.

5. Click Save.

Assign Therapist Based on Idle Time

After you enable this setting, you can assign a therapist to a guest based on idle time in Queue. If disabled, the provider is assigned based on their utilization.

To configure assign therapist based on idle time

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Assign Therapist Based on Idle Time setting.

4. To enable the setting, select the Assign Therapist Based on Idle Time check box.

5. Click Save.

Button Label for No Show

When a guest books a service at your salon but does not show or is unreachable, you can mark the appointment as No Show.

Your business can use a different name for NoShow, such as Not Available, Cancelled, or Left.

To customize the button label for no-show

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Button Label for NoShow setting.

4. In the Button Label for NoShow text box, enter your preferred text for NoShow. (The text can have a maximum of 13 characters).

5. Click Save.

Appointment and Queue View Slide

After you enable the Appointment and Queue View Slide setting, you can navigate to Queue View from the Appointment Book and vice versa.

To configure the appointment and queue view slide

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Appointment and Queue View Slide setting.

4. To enable the setting, select the Appointment and Queue View Slide checkbox.

5. Click Save.

Show Room Association on Admin Queue

This option allows you to show the room associated with the service on the appointment block of the Queue.

To configure show room association on Admin Queue

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Show Room Association on Admin Queue setting.

4. To enable the setting, select the Show Room Association on Admin Queue checkbox.

5. Click Save.

Show Available Therapists in Admin Queue

This option allows you to show the available therapists to your front desk. The list appears when you click the arrow on the Admin Screen. You can track the utilization of the checked-in providers and manage the block out times.

Note: Only the providers for whom the catalog is enabled, the schedule is created for the day, and those who are checked in, are shown in this list.

To configure show available therapists in Admin Queue

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Show Available Therapists in Admin Queue setting.

4. To enable the setting, select the Show Available Therapists in Admin Queue checkbox.

5. Click Save.

Show Scheduled Therapist for the day in Queue

To configure show scheduled therapist for the day in Queue

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Show Scheduled Therapist for the day in Queue setting.

4. To enable the setting, select the Show Scheduled Therapist for the day in Queue checkbox.

5. Click Save.

Show Preferred Time in Queue

To configure show preferred time in Queue

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Show Preferred Time in Queue setting.

4. To enable the setting, select the Show Preferred Time in Queue checkbox.

5. Click Save.

Reschedule Queue Based on Resource Availability

This option allows you to reschedule a specific provider in the Queue view based on resource availability.

To configure Reschedule Queue Based on Resource Availability

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Reschedule Queue Based on Resource Availability setting.

4. To enable the setting, select the Reschedule Queue Based on Resource Availability checkbox.

5. Click Save.

Maximum Guest Wait Time

To configure maximum wait time for guests

1. Ensure that you are at the center level.

2. Navigate to Admin > Centers > Settings > Admin Queue.

The Admin Queue section expands.

3. Locate the Maximum Guest Wait Time setting.

4. Enter the preferred wait time in the Maximum Guest Wait Time text box.

5. Click Save.

The saved configurations will reflect on the center’s queue view.
