We will soon be shutting down the Employee Productivity App; all users will need to install the new Zenoti Mobile app.  The Zenoti Mobile app, does everything the Employee Productivity App did and more with improved performance and usability.

This document is a step-by-step guide in helping you transition your employees from the Employee Productivity App to the Zenoti Mobile app.

Important: The settings you configured for Employee Productivity App will not work for Zenoti Mobile. You must configure Zenoti and set up Zenoti Mobile.

This document covers steps to verify your existing configuration for Employee Productivity App and know how to configure Zenoti to ensure that your employees can use Zenoti Mobile, just as they are using the Employee Productivity App.
 

Verify Your Existing Configuration and Set Up Zenoti Mobile

1. Access to App

Learn who can access the app.

Employee Productivity App 

You can exclusively choose which employee can access the Employee Productivity App.  
To verify access of an employee to the Employee Productivity App 

  1. Open the employee's record.
  2. In the General tab, if Access Employee Mobile Application checkbox is selected - it means that the employee has access to the Employee Productivity App.  

Zenoti Mobile

All your employees, by default, will have access to Zenoti Mobile.
If you want to restrict access to certain or group of employees, contact Zenoti Support.
 

2. Check-in Guests

Allowing your employees to check-in guests will help your front desk schedule appointments more effectively and better utilize resources. 

Employee Productivity App

Verify if your center currently allow employees to check-in guests

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow guest checkin checkbox is selected - it means that you allow your employees to check-in guests using the Employee Productivity App.  

Zenoti Mobile

Zenoti Mobile, by default, allows all employees to check-in guests. Currently, you cannot exclusively choose which employee can check-in guests.
  

3. View and Edit Guest Details

Decide if you will allow your employees to view guest details (contact number, email address etc.)

Employee Productivity App

Verify if your center currently allows employees to view guest details

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow viewing guest details checkbox is selected - it means that you allow your employees to view guest details (but not phone number and email address) using the Employee Productivity App.  
  3. If Allow viewing guest contact details checkbox is selected - it means that you allow your employees to view guest contact information (phone number and email address) using the Employee Productivity App.  
  4. If Allow editing guest contact details checkbox is selected - it means that you allow your employees to edit guest contact information (phone number and email address) using the Employee Productivity App.  

Zenoti Mobile

To allow your employees view and edit guest details  

1. At the organization level, navigate to Admin > Organization > Security Roles >    
   Employee role
> General tab.
   Check if the appropriate access option for the guest profile is selected:

  • Show guest history: Allow the employees with this role to view all tabs on the guest profile page. 
  • Show Service history only: Allows the employees with this role to view only the upcoming and past appointments from the guest profile page (service history).

2. Click the Permissions tab and navigate to Guest Manager > Guests

3. Check if the role has Add, Edit, or both permissions enabled.
    Depending on your requirement, you can assign additional permissions or remove
    them.
4. Click Save.

4. View and Edit Guest Custom Data

Guest custom data allows you to capture additional guest related information beyond the regular details provided at the time of creating a new guest profile.

Employee Productivity App

Verify if your center currently allows employees to view and edit guest custom data

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow viewing and editing of guest custom data checkbox is selected - it means that you allow your employees to view and edit guest custom data using the Employee Productivity App.  

Zenoti Mobile

Employees can view, edit, or both view and edit guest custom data, only if their role has the required permissions. 

To allow your employee view, edit, or both view and edit guest custom data

  1. At the organization level, navigate to Admin > Organization > Security Roles > Employee role > Permissions tab > Guest Manager > GuestsCustomData
  2. Check if the role has View, Edit, or both permissions enabled.
    Depending on your requirement, you can either grant permissions to either view, edit, or both view and edit guest custom data.
  3. Click Save.

5. View and Edit Service Custom Data

Service Custom fields allow you to capture essential guest data for services that require careful administration.

Employee Productivity App

Verify if your center currently allows employees to view and edit service custom data

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow viewing and editing of appointment custom data checkbox is selected - it means that you allow your employees to view and edit service custom data using the Employee Productivity App.  

Zenoti Mobile

Employees can view, edit, or both view and edit service custom data, only if their role has permissions.
To allow your employee view, edit, or both view and edit service custom data
 

  1. At the organization level, navigate to Admin > Organization > Security Roles > Employee role > Permissions tab > Appointment Book > ServiceCustomData
  2. Check if the role has View, Edit, or both permissions enabled.
    Depending on your requirement, you can either grant permissions to either view, edit, or both view and edit service custom data. 
  3. Click Save.

6. Collect Guest Feedback

Guest feedback is useful information about the guest's experience at your center.

Employee Productivity App

Verify if your center currently allows employees to collect guest feedback

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow feedback checkbox is selected - it means that you allow your employees to collect guest feedback using the Employee Productivity App.  

Zenoti Mobile

Your employees can collect guest feedback after a payment is collected, only if:

If your center is setup to collect payments in mirror mode or Guest Mode, verify if Collect Feedback setting is enabled for your organization and center:

  1. At the organization level, navigate to Admin > Organizations > Settings > Appointment Book  and verify if Collect Feedback is selected. 
  2. At the center level, navigate to Admin > Centers > Center Name > Settings > Appointment Book and verify if Collect Feedback is selected.

7. Allow Providers to Book Appointments

Your providers can use the App to book new appointments or add services to an existing appointment.

Employee Productivity App

Verify if your center currently allows employees to book new appointments or add services to an existing appointment

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow therapist to book a new service checkbox is selected - it means that you allow your employees to book a new appointment using the Employee Productivity App. 
  3. If Allow therapist to book another service checkbox is selected - it means that you allow your employees to add services to an existing appointment.

Zenoti Mobile

Employees can book new appointments or add services to an existing appointment only if their role has access to the appointment book and has the permission to add appointments.
To allow your employees book new appointments or add services to existing appointments 

  1. At the organization level, navigate to Admin > Organization > Security Roles > Employee role > General tab and ensure Can access Appointment Book is selected.
    Note: Providers who do not have Can access Appointment Book enabled can still book appointments, but cannot assign the appointment to any other provider other than themselves. They must approach your front desk or manager to change the provider.
    Example: If Rebecca creates an appointment for your guest Clara for 11:00 AM, and later realizes that she wouldn't be around when Clara comes in, Rebecca must ask your front desk or manager to have Clara's appointment assigned to any other available provider, but she can't do it herself.
  2. At the organization level, navigate to Admin > Organization > Security Roles > Employee role >  Permissions tab > Appointment Book > Appointments and verify if Add permission is enabled for the role. 
  3. Click Save.

8. View Tips & Commissions

Employee Productivity App

Verify if your center currently allows employees to view their tips and commissions 

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application
  2. If Allow employee to view tips checkbox is selected - it means that you allow your employees to view their tips using the Employee Productivity App. 
  3. Under Employee Dashboard Settings, If Enable Screen 3 - Day's Transactions and Allow viewing employee commissions checkboxes are selected - it means that you allow your employees to view their commissions using the Employee Productivity App. 

Zenoti Mobile

Your employees can view tips and commissions using Zenoti Mobile if they have the permission to view their tips and you have enabled the Dashboard at the center level.

To allow your employees view their tips and commissions

  1. At the organization level, navigate to Admin > Organization > Security Roles > Employee role > Permissions tab > Employee Manager > Commission Settings and ensure that the View permission is enabled.

  2. At the center level, navigate to Admin > Centers > Center Name > Settings > Zenoti Mobile and select Enable Dashboard.
  3. Click Save.

9. View Performance

Employee Productivity App

Your employees can view their performance using Employee Productivity App if you have enabled the Employee Performance Metrics at the center level.

To verify if Employee Performance Metrics is enabled

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application > Employee Dashboard Settings
  2. If Enable Screen 2 - Employee Performance Metrics checkbox is selected - it means that you allow your employees to view their performance using the Employee Productivity App. 

Zenoti Mobile

Your employees can view their performance using Zenoti Mobile if you have enabled the Dashboard at the center level.

To enabled the Dashboard

  1. At the center level, navigate to Admin > Centers > Center Name > Settings > Zenoti Mobile 
  2. Select Enable Dashboard.
  3. Click Save.

10. View Sales and Day's Transactions

Employee Productivity App

Verify if your center currently allows employees to view their sales and day's transactions. 

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application > Employee Dashboard Settings.
  2. If Enable Screen 3 - Day's Transactions checkbox is selected - it means that you allow your employees to view their day's transactions using the Employee Productivity App. 
  3. If Display Revenue and Sales tab checkbox is selected - it means that you allow your employees to view their sales using the Employee Productivity App. 

Zenoti Mobile

Your employees can view their sales and day's transactions using Zenoti Mobile if you have enabled the Dashboard at the center level.

To enabled the Dashboard

  1. At the center level, navigate to Admin > Centers > Center Name > Settings > Zenoti Mobile 
  2. Select Enable Dashboard
  3. Click Save.

11. View Revenue

Employee Productivity App

Verify if your center currently allow employees to view revenue. 

  1. At the center level, navigate to Admin > Organization > Centers > Center Name > Settings > Employee > Employee Mobile Application > Employee Dashboard Settings.
  2. If  Enable Screen 1 - Revenue by Item Type checkbox is selected - it means that you allow your employees to view revenue using the Employee Productivity App.

Zenoti Mobile

Zenoti Mobile currently does not currently provide access to revenue details.
