Alerts are email or SMS notifications sent to you or your staff members when a specific, critical task was not completed or accomplished. Alerts are especially useful for organizations with multiple centers. 

Important: Before you begin, you must enable alerts for your organization

You can enable, disable, or edit the following alerts in Zenoti:

Appointment Book and POS

  • Too many OTP overrides: Sends an alert when a center uses the OTP override code more than the maximum limit specified in the alert rule.
    Front office staff use the OTP override code to process payments when the guests themselves are unable to provide the OTP.
  • Too many open appointment requests:  Sends an alert if the number of open appointments in a center (for the day) is more than the number specified in the alert rule.
  • Too many invoices were deleted: Sends an alert if invoices (created in the POS window) deleted in a center for the day exceed the maximum number specified in the alert rule.
    Note that you can create the invoice for an appointment, product, package, membership, or product.
  • Too many appointments were deleted: Sends an alert if the appointments deleted in a center (for the day) exceed the number specified in the alert rule.
  • Too few invoices were created: Sends an alert if invoices created in the POS window in a center (for the day) does not reach the minimum number specified in the alert rule.
    Note that the invoice can be created for an appointment, product, package, membership, or product.
  • Too few appointments were created: Sends an alert if the appointments created in a center (for the day) does not reach the minimum number specified in the alert rule.
  • Register was not closed (center): Sends an alert if the register was not closed in a center for the day.
  • Cash adjustment exceeds limit: Sends an organization and center level alert when the cash adjustment during the end of day closing exceeds a certain amount.  

Inventory

  • Reconciles pending for approval (center): Sends an alert to approve the reconcile after an audit is complete. 
  • Product order level has been reached: Sends an alert when a product falls below the order level specified on the Product page.
  • Product level is running low: Send an alert when a product falls below the alert level specified on the Product page.
  • Product level is negative (retail): Sends an alert if the retail product's floor quantity is less than zero in a particular center.
  • Product level is negative (consumable): Sends an alert if the consumable product's floor quantity is less than zero in a particular center.
  • Appointments missing consumption entry: Sends a list of appointments that are missing a product consumption entry.

Employee 

  • Employee utilization is low: Sends an alert when the employee utilization falls below a minimum percentage. 
  • Employee has been absent: Sends an alert if an employee at a center is absent for more than a specified number of days.
    An employee is considered as 'Absent' if the employee's attendance is not recorded in Zenoti for the day.

Guest Loyalty

  • Service request not responded: Sends an alert if a service request received from the webstore is not responded by a staff memeber within the time limit specified in the alert rule.
    Guests raise service requests from the webstore and they appear in the Appointment Book as "Online Bookings". It is the responsibility of a staff member to follow up with guests and convert the requests into confirmed bookings.
  • Member has not accepted T&C: Sends an alert with the list of guests who signed up for a membership in the last 7 days and have not accepted the terms and conditions of the membership.
  • Guests did not receive products purchased: Sends an alert when a product was not delivered to the guest within the specified time period.
  • Guest outstanding balance is too high: Sends an alert with a list of guests having an outstanding balance that exceeded the amount specified in the alert rule.
  • Guest is not on target for their package goal: Sends an alert when the package's target value or goal is not met. Refer to step 11(i) in Set Up A Day, Series Or Promo Package
  • Guest has been irregular on package visits: Sends an alert when guests holding a package are irregular at visiting the center.

Operational Issues

  • Too many opportunities missed follow-up: Sends an alert when the number of opportunities that have missed follow-up action from the sales owners has exceeded the number specified in the alert rule.
  • Text message (SMS) balance is low (organization):  Sends an alert if the organization SMS balance falls below the specified number.
  • Text message (SMS) balance is low (center): Sends an alert if the center SMS balance falls below the specified number.
  • Room utilization is low: Send an alert when room utilization is lesser than the percentage specified in the alert rule.
    The room utilization is derived from the total number of hours that rooms are available for booking at a center on a selected date and the number of hours they have been booked.
  • Issues open for too many days: Sends an alert for issues that are open for more than the number of days specified in the alert rule.
  • Email balance is low (organization): Sends an alert if the organization email balance falls below the specified number.
  • Email balance is low (center): Sends an alert if the center email balance falls below the specified number.
  • Always on balance is low (organization): Sends an alert if the Always On balance at the organization level falls below a certain level.
  • Always on balance is low (center): Sends an alert if the Always On balance at the center level falls below a certain level.

Note: Notifications are sent to employees or roles according to the alert rule configuration.
