Track Who Opened the Cash Register 

With this release, each time a user attempts to open the Cash Register from the Appointment Book context menu, Zenoti will log details such as who opened the Cash Register and when. You can view these details from the Manage Cash Register option of the Appointment Book (Context menu > Manage Cash Register > Manage Cash).
Note: Zenoti does not log details when the Cash Register is opened from the invoice using the Close and Print icon.

Future Appointments Cannot be Marked as Start or Complete

With this upgrade, the front desk cannot change the status of a future appointment to Start or Complete.

Restrict Editing Payment Mode in Locked Invoices - Update to Role Permission

At times, the front desk may enter the wrong payment type in invoices such as say, Cash instead of a Custom payment. Earlier, users with the permission, PaymentTypeChange, could correct such errors by editing the payment mode in open, closed, and locked invoices. And users without the permission could edit the payment mode in locked and open invoices.  

We are now changing the behavior of this permission. Now, users with this permission can edit the payment mode in closed and locked invoices. By locked invoices, we mean those invoices that are locked when the organization level setting Lock invoice after print/email is selected.
Note: Anyone can edit the payment mode in open invoices.

Get Relevant Results Even when Phone Number has Zero as a Prefix

In some countries, it is a common practice for guests to prefix zero when sharing their phone numbers. Earlier, when the front desk searched for phone numbers with the prefix as zero, relevant results were not returned every time.

This is now fixed. With this release, searching for phone numbers with zero as the prefix will fetch relevant results.

For example, if the phone number in Sarah’s profile does not have zero as a prefix, and if Sarah gives her phone number to the front desk as 0491570156, when front desk searches for the phone number with zero as the prefix, Sarah is displayed as a match.

Alerts for Recurring or Perpetual Appointments

  • Alert against double booking and out-of-schedule for ‘Warn’ Settings: With this upgrade, if your organization has set ‘Warn’ for the settings - Double-booking for Therapists and Appointment Booking Outside Therapist Schedule Hours, Zenoti shows alerts for recurring or perpetual appointments that have providers double booked or booked during their out-of-schedule hours. 
  • Alert When double-booking guests: With this release, if the organization setting: Show alert when double-booking guests is selected, Zenoti shows alerts when a slot of a recurring or perpetual appointment of a guest, overlaps with another appointment of the same guest.

Undo Status of a Confirmed Appointment

Earlier, if you have confirmed an appointment accidentally, it was difficult to undo it. With this release, you can easily undo the confirmation of an appointment, back to New, using the Change Status option in the context menu.

Employee Management

Extend an Employee’s Schedule after Clock-In

Earlier, you could not change the schedule after an employee clocks-in.  
Now, you can extend an employee’s schedule even if the employee has already checked in. For example, if the employee was due to work from 9AM to 4PM, you can now edit this to say, 9AM to 6PM.
Note: You still cannot make changes to the employee’s status after the employee has checked in. For example, if the employee’s status is Working, you cannot change it to Leave or Weekly Off.

Lock Employee Profile after Few Failed Login Attempts

We have introduced a new organizational level setting that will lock an employee profile after a specified number of login attempts. You can use this setting to help protect your employees’ Zenoti accounts from hacking attempts.
Note: Users with appropriate permissions can unlock employee profiles.

Updates to Employee Time-Related Reports

We have made a few improvements to the following employee time-related reports:
Updates to Block Out Time Details Report

  • Filter names: We have updated the names of the filters as “All Employees” and “All Block Out Time Types” for clarity. Earlier, both the filter names read “All”. 
  • Employee names: Earlier, the employee name filter showed employees by their nickname (say, Robbie). Now, the employee name filter will show the employee name in the format, “First name + Last name + (Nickname)”. For example, Robin Brown (Robbie). Also, when you run the report for a specific employee, the report header will appear in the same format, “First name + Last name + (Nickname)”. 
  • Column headers: We have changed the column headers to be consistent with other reports - Employee Code is now Code, Employee Name is now Employee, Break Category is now Block Out Time Type, and Center Name is now Center.

  • Filter names: We have updated the name of the filter from “All” to “All Employees”. You can use this drop-down to search for an employee by entering a name or by scrolling and selecting a name.

  • Filter names: We have added a new filter, “All Employees” that allows you to search for an employee by entering a name or by scrolling and selecting an employee. The names of employees appear in the format, "First name + Last name + (Nickname)". We have updated the names of the filters from “Summary” to “Attendance Summary” and from “All” to “All Jobs”. You can use the Job drop-down list to search for a job by entering a name or by scrolling and selecting the name of the job. 
  • Employee names: Earlier, the employee name filter showed employees by their nickname (say, Robbie). Now the employee name filter will show the employee name in the format, “First name + Last name + (Nickname)”. For example, Robin Brown (Robbie). Loyalty Points

Regular Loyalty Program - Set Points Expiry

Earlier, in a Regular Loyalty Program:

  • Points for general actions did not expire: You could not set expiry for points awarded for general actions such as purchasing services, products, or memberships. 
  • Points for online actions expired: Points accrued for online actions such as booking an appointment online, signing-up online, and sharing feedback had an expiry of 365 days which you could not change.

In this release, we are giving you the flexibility to specify expiry (in days) for both general and online actions.

Search for Sales Owner while Creating an Opportunity

When creating a sales opportunity, you can select an employee as the Sales Owner for the opportunity from the drop-down list. If you have many employees, selecting a Sales Owner becomes tedious. With this release, we have added a Search box within the drop-down list to find a specific employee.

Mandatory to Add Comments for Refunds and Retail Exchanges

It is now mandatory for the front desk to enter Comments while processing refunds and product exchanges. These comments act as a handy reference tool to check why a refund was made or why a guest requested a product to be exchanged.
The Sales - Invoices report shows these comments in the Comments column.

Reports

Easy Reconciliation of Sales and Collections in Register Summary Report

In this release, we are introducing drill-downs in the Sales and Collections sections of the Register Summary Report.
The drill-downs open a report that gives you all the details you will need to reconcile the reported values.

Daily Summary Report Shows Therapist Product Revenue

Earlier, in the Employee Summary section of the Daily Summary Report, you could only see the providers who generated the highest and lowest service revenue (revenue realized from performing services) on a particular date.
With this upgrade, you can also see the providers who generated the highest and lowest product revenue (from the sale of products) on a particular date.

Zip Code Macro for Custom Forms

While creating custom forms like guest intake form, earlier there was no macro to add the guest’s zip code in the form - the front desk had to add the zip code manually.
We have now added a new macro [ZipCode], that you can add in the HTML of your form to fetch the Zip code from the guest profile.

Zenoti Mobile

Select Guest as a Referral Source (iOS)

Earlier, you did not have the option to select a guest as the referral source. With this upgrade, you can add a guest as the Referral Source.
Example:
If Jane, an existing guest refers Paul, then you can add Jane as the Referral Source.

Easily Add Retail Quantities (iOS)

Earlier, when you sold a product and had to add more units, you had to increase the quantity using the + sign. With this upgrade, you can manually enter the quantity of the product the guest wants to purchase. This helps in a bulk sale. 

View Before and After Pictures in a Carousel (Extended to iOS)

We’re adding a Gallery view to the guest profile (in the unified forms tab) in Zenoti Mobile (iOS), which allows you to easily view all images taken as part of any guest intake or service form. A carousel view enables you to quickly scan all images and select two for a side-by-side comparison.

New Fields in Guest Profile (iOS)

In this upgrade, we have added new fields Middle Name and Primary Employee to the Guest Profile. We have also added a new toggle switch, Block Guest from Editing Custom Data. The Phone Number field has been renamed to Mobile Number.

Original Date and Time of Appointment Shown for Reference (iOS)

Sometimes, in an already booked appointment, you might have to change the service, provider, or select a room. When the front desk modifies the appointment, the original date and time of appointment were not apparent. With this release, Zenoti displays the original date and time of the appointment for reference, and you can make changes as required.

Guest Profile in Service Forms (iOS)

When taking services, a guest may need to fill relevant service forms. For convenience, we have added a new tab, Profile, to service forms. While filling a service form, a guest may choose to fill or update details such as contact and address in their profile. 

Redeem Service Credits of Memberships Without Taxes (iOS)

Earlier, from Zenoti Mobile, front desk could not apply the service credits of memberships without taxes, on the invoice. With this upgrade, the front desk can apply the service credits of such memberships. They can also partially apply the credits or completely remove the credits applied on an invoice, based on guest’s preference.
Note: Redemption of membership credit balance is not yet supported.

Add a Banner Image for the Gift Card Page

With this upgrade, you can add a default image that appears in the preview section of the Gift Cards page of your Webstore.

Check the Balance of a Bonus Gift Card

Earlier, guests could check the balance of a Gift Card but not that of a Bonus Gift Card. Now, they can check the balance of a Bonus Gift Card too.

Show Indicative Price for Services

Earlier, you could only specify a price range for a service. For example, you could specify a price range as $25 to $50. We are now giving you another option to show an indicative price along with some helpful text. For example, you can display the price as “Starting from $25”.

Add Description of a Gift Card

With this release, you can add a description of a Gift Card for your guests when they purchase a Gift Card online. You can use the description to promote the gift card and boost sales.  Guests can view this description to take a call about purchasing the Gift Card.

Hide Service Price from Your Guests

Service prices may vary depending on provider-specific pricing. With this upgrade, you can choose to hide the price of a service when a guest selects or confirms a service. 

Customize Add-on Label

Add-ons are services that are offered along with other services, but cannot be booked as a separate service.
For example, Hot Stone Massage is an add-on service for a Bliss Massage.
If your business term for add-on is something else, for example, elevations or enhancements, earlier, you did not have a way to customize the add-on's label in your Webstore.
With this upgrade, you have an option to customize your add-on label. Zenoti displays the add-ons that are offered with a service under the customized label.

Zenoti Kiosk

Set Block Out Times for Providers

Earlier, there was no option to set Block Out Times for providers. With this upgrade, the front desk can set up Block Out Times for providers who have checked-in for the day. 

View the Checked-in Stylists for the Day

With this release, the front desk will be able to see a list of all the checked-in stylists in the Admin Kiosk. This helps the front desk to know the number of stylists that can attend the walk-in guests. 

Assign Rooms for Existing Appointments

Earlier, for existing appointments, you did not have an option to assign rooms. With this release, you can assign rooms for appointments that are booked from the Guest Kiosk and from Zenoti Mobile.

Enable Guest Kiosk at Organizational Level

Earlier, you could enable the Guest Kiosk only from the center level (using the Enable Guest Kiosk setting). With this release, we have added this setting at the organizational level as well. For Guest Kiosk and Queue to function, you must enable this setting, both at the organization and center level.
