Important: This article assumes that you have set up your QuickBooks account and have created the Chart of Accounts (COA).

Adding QuickBooks account names in Zenoti is an optional step when you are setting up Zenoti-QuickBooks integration.

Why should you add account names in Zenoti?

When you setup your Chart of Accounts (COA) in QuickBooks, you normally create a list of accounts to define each class of items for which money is spent or received.
Example: For Cash payments, as shown in the image below, you might create an account with a header name as Cash Register in QuickBooks.

Zenoti too, gives you an option add custom headers (account names) for the various accounts. See the How do I add QuickBooks account names in Zenoti section of this article to know how to add Custom Headers.
If you add account names for various entries in Zenoti as per your COA in QuickBooks, and then import financial data from Zenoti into QuickBooks, the import matches the custom headers and places data accordingly.

Example: The default header for Cash in Zenoti is Cash. If you change this header to Cash Register, when you perform the import, the data of the Cash Register of Zenoti is updated in the Cash Register account of Quickbooks.

What happens if I do not add an account name in Zenoti?

If you do not add an account name in Zenoti, during import, QuickBooks checks if an account exists with the name of the header configured in Zenoti. If such an account does not exist, it automatically creates an account with the header name as in Zenoti.

Example: For Cash payments, if you create an account with a header name as Cash Register in QuickBooks, and you do not change the default header in Zenoti and leave it unchanged as Cash, when you import from Zenoti, QuickBooks creates a new account with name as Cash and adds the corresponding entry there.

How do I add QuickBooks account names in Zenoti

To add QuickBooks account names in Zenoti:

  1. At the center level, navigate to Admin > Organization > Centers.
    The Manage Centers page opens.
  2. Click the name of your center.
    All center settings categorized by tabs appear.
  3. Click the Accounting tab.
    The Integration Settings appear.
  4. Expand Account Mapping.
    The following columns appear:
  • MMS Header: Name of the account in Zenoti.
    Note: There are 41 accounts defined in Zenoti. Click here to view the account names and their description.
  • Description: Details of the account type and usage.
  • Custom Header: This is the name of the account in QuickBooks.
    By default, this field has the name of the account in Zenoti (the same name that is in the MMS Header). You can edit this field to reflect the QuickBooks account name.
    During import from Zenoti into QuickBooks, for an entry in the Custom Header field, the import looks for the corresponding account in QuickBooks and places data in that account.
    Example: If you create an account with a header name as Cash Register in QuickBooks, and if you change Custom Header of Cash to Cash Register in Zenoti, when you perform the import, the data of the Cash Register in Zenoti is updated in the Cash Register account of Quickbooks.
  • Custom Code: (Optional) This is the code (usually a number) associated with the account name in QuickBooks.

   6.  Based on your requirement, for the accounts under the MMS Header column,
        change the appropriate Custom Header as per the entry in QuickBooks.
