Zenoti sends emails such as appointment confirmation or birthday greetings from noreply@zenoti.com, with the sender name as ‘Zenoti’.

However, if you are a Zenoti Enterprise customer, you can customize the outgoing email address and the sender’s name for your entire organization or for specific centers.

Important:

  • In all the transactional, marketing, and daily report notification emails, Zenoti replaces the Sender ID (noreply@zenoti.com) with the email address you set up. All the guest replies are sent to the email address that you set up. (If you set up the email at the organization level, the change is applied to all the centers. If you set up the email at the center level, the change is applied only to that center).
  • Do not use a personal or free email address since many email providers implement authentication policies that negatively affect emails that use a free email domain.

Customize the Outgoing Email Address

Follow these steps to change the email address of the outgoing emails of your organization or center:

  1. Configure DNS: Contact your IT Admin team to change the DNS settings or contact your domain hosting company to add the following SPF Records to your site’s DNS.

    - Existing SPF Records: If your site’s DNS already has an SPF record, add
    the following line to the existing SPF records.

    include:spf.mandrillapp.com include:sendgrid.net

    For example, if your existing record is "v=spf1 include:spf.protection.outlook.com ~all" you must add the above line as follows:

    v=spf1 include:spf.protection.outlook.com include:spf.mandrillapp.com include:sendgrid.net ~all

    - New SPF Records: In cases where your site’s DNS does not have an
    existing SPF record, add the following:

    v=spf1 include:spf.mandrillapp.com include:sendgrid.net ~all

    Note: There should only be a single SPF entry. The single entry can have multiple SPF records.

2. To validate the SPF records and to ensure they are working fine, your IT
Admin team or your domain hosting provider can navigate
to https://dmarcian.com/spf-survey/

3. Contact Support: Send an email to Support (support@zenoti.com) with
the following details. Zenoti team updates the internal records to reflect
this change.

- For the entire organization:

- Your organization name

- The outgoing email address (From address) that you want to use

- For a specific center:

- Your organization name

- Name of the center for which you want to change the email address

- The outgoing email address (From address) that you want to use.

4. Sender Authentication: Contact Zenoti Support to complete the
sender authentication for custom email addresses. In this step, Zenoti
will authenticate your domain and selects your DNS as the default email sender.

Note: Proceed to the next steps only after you change the DNS settings and after you receive a confirmation from Zenoti.

Customize the Sender Name

The sender name set up at the organization level applies to all the centers within the organization. However, you can configure different sender names for individual centers.

To change the sender name for the entire organization

  1. Ensure that you are at the organization level.
  2. Navigate to Organization > Organizations > Settings.
  3. Expand the General section.
  4. In the Email Sender Name box, enter the name that you want emails from your organization to show.
    Example: If you enter Spa Bliss in this field, the recipient sees Spa Bliss as the sender of the email when your organization sends out an email.

5. Click Save.
You have successfully added a custom email address as a sender name.

To change the sender name for a center

  1. Ensure that you are at the center level.
  2. Navigate to Admin > Organization > Centers > <CenterName> Settings > General.
  3. In the Email Sender Name box, enter the sender name that you want emails from your center to show.
    Example: If you enter Spa Bliss in this field when your center sends out an email, the recipient sees Spa Bliss as the sender of the email.

4. Click Save.
You have successfully added a custom email address as a sender name.
